Care Coordinating Administrative Assistant
Family & Nursing Care, a growing, fast-paced home care registry with an excellent reputation for serving the senior community, seeks an Administrative Assistant with a commitment to excellence.
Family owned and operated since 1968, Family & Nursing Care specializes in helping families maintain a balanced lifestyle and enables seniors to remain independent in their homes by referring experienced caregivers who provide a range of personalized services that meet the individual needs of each client. Serving Montgomery and Prince George's Counties in Maryland and Washington, D.C., Family & Nursing Care refers caregivers who provide nursing assistant services such as companion care and assistance with activities of daily living in private homes, hospitals, nursing homes, assisted living communities, and retirement communities. The Company also refers nurses who provide skilled care such as medication management and wound care.
The Care Coordinating Administrative Assistant will provide administrative support for the Coordinating and Department in the planning, organizing, directing, implementing and evaluating of nursing care and activities.
Responsibilities:
- Assigns new cases to department staff and posts clients' name on the new cases chart, as directed.
- Reviews answering service messages daily to identify any matters of concern that arose overnight or on the weekend.
- Alerts proper personnel to any priority issues or concerns throughout the work day.
- Schedules and organizes activities such as meetings, travel, conferences and department activities for the Department Manager (as directed).
- Performs a variety of desktop publishing; presentations, correspondence, memos, charts, tables, graphs, business plans, etc.
- Organizes and prioritizes large volumes of information and calls for reports, and tracking.
- Acts as a liaison with other departments handling confidential information frequently.
- Notifies On-call personnel about any next day service requests and/or issues which might arise overnight.
- Ensures all activities or conversations with clients are documented; advises Care Coordinators of any modifications or changes to their services or plans of care.
- Provides back-up telephone and reception coverage as needed.
Requirements:
- 3 - 5 years administrative, staffing, and/or customer service experience required.
- Excellent interpersonal and communication skills necessary to develop relationships and build a rapport with co-workers, caregivers and clients.
- Ability to adapt to continually-evolving business expectations, challenges, and goals.
- Ability to rectify problems while ensuring the highest level of customer satisfaction.
- Excellent organizational skills, attention to detail, and ability to multi-task and work well under pressure, despite numerous interruptions and background noise.
- Strong desire to provide assistance and service to others.
- Proficiency with MS Office Suite and database software.
- Familiarity or experience servicing the senior citizen population a plus.
- Associates degree or higher preferred.
