Administrative Assistant

The Administrative Assistant will provide administrative support for both the Coordinating and Consumer Relations Departments in the planning, organizing, directing, implementing and evaluating of nursing care and activities.
Responsibilities:
- Reviews Call Log of answering service messages from the close of business the prior work day until the next business morning to determine if any priority issues or concerns arose overnight, or over the weekend.
- Alerts proper personnel to any priority client issues or concerns on the Call Log or throughout the work day to facilitate expedient and appropriate responses.
- Schedules and organizes activities such as meetings, travel, conferences and department activities for the Department Manager and also for the Vice President of Customer Relations (as needed).
- Performs a variety of desktop publishing; from helping to develop visual presentations, to designing general correspondence, meeting minutes, flyers, newsletters, memos, charts, tables, graphs, business plans, etc.
- Organizes and prioritizes large volumes of information and calls for reports, and tracking.
- Updates client questionnaires based on feedback from families, referral sources, and caregivers.
- Coordinates and assembles large mailings of client questionnaires and tallies results received for the purposes of creating a results report.
- Act as a liaison with other departments including President, Vice Presidents etc., handling confidential information frequently.
- Notifies On-Call Personnel about any next day service requests and/or issues which might arise overnight while providing all the necessary documentation.
- Acts as project manager for special projects as requested by the Vice President of Consumer Relations and Quality Assurance, which may include: planning and coordinating multiple presentations, disseminating information, coordinating direct mailings, creating brochures.
- Provides back-up phone coverage for Receptionists as requested.
Requirements:
- Professionally represents Family & Nursing Care when dealing with callers.
- Takes initiative, asks questions to clarify instructions and demonstrates a “can-do” attitude.
- Works harmoniously and communicates effectively with staff.
- Ability to assess what situations have a sense of urgency and to route calls or issues to the appropriate personnel for responding.
- Works independently and within a team on special nonrecurring and ongoing projects.
- Excellent interpersonal and communication skills, including polite and effective telephone demeanor and customer service abilities to establish a rapport with Care Coordinators, Caregivers and clients to rectify problems while ensuring the highest level of customer satisfaction.
- Excellent organizational skills, attention to detail, and ability to multi-task and work well under pressure, despite numerous interruptions and background noise.
- Detail oriented; able to work independently, meet deadlines and prioritize workload.
Preferred Skills:
- 2-3 years administrative experience (e.g. in a doctor’s office, as a customer service rep, or healthcare call center representative).
- Experience with servicing the seniors a plus.
- Associate degree or higher preferred.
- Proficient with MS Office Suite.
- Familiarity with databases to enable accurate and expedient usage, access and updates is desirable.
