Nights & Weekends Coordinator

Job Description

We are seeking a Nights & Weekend Coordinator to be responsible for ensuring the smooth handling of all new and existing client and caregiver calls that come in after traditional business hours. This position will support the business for weeknight and weekend coverage. The candidate must be available for extended day-time training in our Silver Spring office. Must have previous homecare coordinating experience.

The schedule is:

  • Monday 8a-5p
  • Friday 8a-3p
  • Friday night to Saturday Morning: 5p-8a
  • Saturday: 8a-5p
  • Saturday night to Sunday Morning: 5p-8a

Responsibilities

Provides full operational weeknight and weekend support for the Agency’s incoming client and caregiver calls. Support will include: client follow up/feedback calls or caregiver calls for staffing or other related needs

  • Discusses the process of scheduling for caregivers, and billing and payment of services with new clients
  • Communicates with clients regarding needs for caregiver tardiness, substitutions or replacement
  • Responds to all caregiver cancellations and identifies a substitute for the specific case based on needs, skills and availability
  • Runs database reports to identify caregiver availability, skill set and location
  • Contacts caregivers matched to case requirements to determine fit and availability, and provides pertinent case details to the caregiver for their assignment
  • Staffs cases with the most appropriate caregiver for new and/or existing cases as needed
  • Receives calls from caregivers regarding their availability
  • Responds immediately to any calls regarding concerns from clients or caregivers
  • Documents and investigates all situations to resolve concerns/complaints as appropriate
  • Documents all weeknight and weekend activities and services, and updates office staff
  • Ensures electronic timecard system is updated during each shift and any outstanding follow ups are completed
  • Communicates and collaborates with Clinical Team as needed

Qualifications

  • Proficient use of Microsoft Word, Outlook, and Excel, data entry skills and experience with database software to enable accurate and expedient usage
  • Excellent written and verbal communication skills, including polite and effective telephone demeanor
  • Excellent organizational skills, attention to detail, and ability to multi-task and work well under pressure, despite numerous interruptions and background noise
  • Dedicated personal office space is required and must include an exceptionally quiet work environment free from distractions and noises
  • High Speed Internet connectivity and cell phone reception capabilities
  • Strong customer service abilities to establish a rapport with office staff, caregivers, clients, contacts, and professionals to rectify problems, while ensuring the highest level of customer satisfaction
  • Ability to assess which situations have a sense of urgency and to route calls or issues to the appropriate personnel for responding
  • Thrives in a fast paced work environment with ability to successfully several tasks at one time, and throughout a 24 hour period of time-including late night and early morning phone calls
  • 2+ years’ experience in healthcare placement and/or staffing, or related experience desired
  • Associates Degree or higher preferred
  • Experience with servicing seniors is a plus
  • Prior 24 hour/on –call experience highly desired
